PURPOSE

To control preparation, processing, and distribution of the Association’s accounts payable disbursements and maintenance of associated files and records.

 

ESSENTIAL FUNCTIONS OF THE POSITION

1.     Receive all payable invoices, purchase orders, receiving records, and check requests from various operating departments and vendors and maintains related files and records.

2.     Verify accuracy of billings from suppliers, ensures proper authorization for payment, and prepares invoices for computer input with proper vendor, inventory, budget, and accounting distribution codes.

3.     Process or direct the flow of the processing of all invoices, checks, and ACH/wires and proofs input for accuracy.

4.     Communicate with customers, vendors, and other departments on account and invoice inquiries in a timely and professional manner and maintains confidentiality.

5.     Process monthly credit card statement and reconciles individual expense reports to the statement.

6.     Ensure payment to vendor is processed and distributed timely.

7.     Prepare related journal entries, posts to subsidiary records as required, and reconciles accounts payable transactions to general ledger control accounts.

8.     Maintain W-9 file to ensure vendor tax ID numbers for services provided.  Processes and prepares annual 1099 forms for review by supervisor.

9.     Preparation of monthly and annual financial and statistical reports.

10.  Provide support and assists others in the department as needed.

11.  Promote a safety culture in which safety is a value.  This culture is based on joint and individual engagement, ownership, and accountability regarding job safety and responsibility to perform work safely and adhere to safe work practices.

12.  Performs the essential functions of the position in a safe and efficient manner.

ESSENTIAL POSITION REQUIREMENTS

Qualified candidates are required to have:

-         A high school diploma or equivalent.

-         Two (2) years of progressively responsible accounting experience in automated accounts payable.

Preference may be given to those candidates with:

-         An educational emphasis in accounting or business-related fields.

-         Utility accounting experience.

·         Ability to analyze details.

·         Ability to process large volume of transactions with a high level of accuracy and meet daily, weekly, and monthly deadlines.

·         Ability to facilitate cooperation between work groups and work functionally across all levels of the organization.

·         Ability to self-motivate improvement based on successes and failures.

·         Ability to analyze processes for efficiency and make recommendations for improvements.

PHYSICAL DEMANDS

-         Major occurs 60% or more of work time.

-         Ability to understand, read, and carry out written instructions.

-         Ability to understand, read, and verify documents electronically, verbally, or hard copy.

-         Major amount of sitting, finger use, feeling/touching of items/documents, etc., eye-hand coordination, communicating, hearing, and seeing – near.

-         Moderate amount of handling of items/documents, etc.

-         Minor amount of standing, walking, lifting/carrying/pushing up to fifteen (15) pounds, stair climbing, balancing, kneeling, crouching, crawling, turning/twisting, and bending at waist.

EMPLOYMENT STATUS

This position is classified as a non-exempt, represented position, and is eligible for overtime compensation based on both Federal and State of Alaska laws.  All Association employees are expected to work widely varying amounts of either (1) unscheduled overtime such as during power restoration activities; or, (2) scheduled overtime required to accomplish special projects.
