PURPOSE
To provide division coordination and support of projects, programs, and perform various advanced administrative duties.
ESSENTIAL FUNCTIONS OF THE POSITION
1. Coordinates internal and inter-department communications for the division.
2. Provides administrative support to division directors and/or managers as needed.
3. Assists and provides support to the division project analyst.
4. May coordinate and/or support division activities as needed.
5. May maintain calendars, schedules of meetings and/or events for division directors as needed.
6. May attend various executive management meetings that are confidential in nature.
7. Responsible for filing and maintaining various files.
8. Responsible for file record retention as well as electronic record keeping functions.
9. Orders and maintains office supplies for the division. Prepares requisitions for supplies and service as needed.
10. Data entry and record management of various equipment using an asset management program and/or software.
11. May assist technical services, engineers and operations with work order or trouble call requests and tracking.
12. Promotes a safety culture in which safety is a value. This culture is based on joint and individual engagement, ownership, and accountability regarding job safety and responsibility to perform work safely and adhere to safe work practices.
13. Performs the essential functions of the position in a safe and efficient manner.

ESSENTIAL POSITION REQUIREMENTS
· Qualified candidates are required to have a bachelor’s degree or equivalent experience.
· Qualified candidates are required to have seven (7) years of directly related administrative experience demonstrating progressive responsibility, growth and development in advanced office functions and advanced Microsoft Office experience required.
· Preference will be given to candidates with experience in asset management systems.
· Qualified candidates must have a valid Alaska driver’s license (or ability to obtain as required under State of Alaska regulations) and a driving record, which is acceptable and insurable by the Association and the Association’s insurance carrier at standard group rates.

· Advance skill in typing with a high degree of accuracy as well as transcribing information.
· Advance skill in organization, coordination, and prioritization.

· Skill in driving problem-solving, decision-making and accountability within team.
· Ability to manage asset management systems.
· Ability to establish and maintain working relationships, as well as the ability to maintain a high degree of integrity and confidentiality.

· While performing the duties of this position, the incumbent will be required to:
- Use a computer to input data, analyze information, compose various documents and reports, and produce spreadsheets.
- Communicate through speech and hear conversations with others by telephone and in person.
- Visual acuity to discern writing on paper to include reading language to allow filing of documents into the appropriate location, communication with others electronically, and read and comprehend documents and reports via paper and computer format.
- Periodically operate a vehicle.
- Ability to travel to other Association offices and organizations to attend meetings, seminars, etc.

· This position primarily works in an office setting.
EMPLOYMENT STATUS
· This position is classified as a non-exempt, non-represented position; and is eligible for overtime compensation based on both Federal and State of Alaska laws. All Association employees are expected to work widely varying amounts of either (1) unscheduled overtime such as during power restoration activities; or, (2) scheduled overtime required to accomplish special projects.
