PURPOSE
This position provides a variety of general office and administrative support duties for the given division. The position is responsible for providing professional administrative support or other office-related functions.
ESSENTIAL FUNCTIONS OF THE POSITION
1.Assist the division in a variety of administrative support activities.
2.Provide support and other assistance, including but not limited to: scheduling meetings, distributing mail, making photocopies, and filing.
3.Establish and maintain division official files.
4.Responsible for record retention of a variety of files. Scans documents for long term document retention.
5.Prepare the monthly credit card reconciliation for the division when necessary.
6.Arrange for expedited mail or package delivery.
7.May prepare documents for division meetings, including meeting room set-up.
8.Make travel and seminar/conference arrangements for the division.
9.Prepare correspondence and reports with accuracy.
10.May prepare power point presentations as requested.
11.Perform a variety of copy and assembly work.
12.Data input and reporting tasks from or with various software programs.
13.May schedule the use of various Association facilities, such as meeting rooms.
14.Perform basic accounting clerical support functions for the division such as preparing and distributing invoices for approval.
15.May provide administrative assistance to other departments within the division.
16.Promote a safety culture in which safety is a value. This culture is based on joint and individual engagement, ownership, and accountability regarding job safety and responsibility to perform work safely and adhere to safe work practices.
17.Perform the essential functions of the position in a safe and efficient manner.

ESSENTIAL POSITION REQUIREMENTS
Qualified candidates are required to have:
-A high school diploma or equivalent.
-Three (3) years of office experience demonstrating progressive administrative development.
Preference may be given to candidates with:
-Microsoft Office Suite training and/or certification.
-Experience in typing technical material and working with cost estimates and budgets.
-Experience drafting legal and regulatory documents.
-Continuing education courses in business administration, to include accounting, human resources, business law. Additional preference will be given to candidates with legal experience, tariff and regulatory knowledge.
-Qualified candidates must have a valid driver’s license and a driving record, which is acceptable by the Association’s Driving Policy and insurable by the Association and the Association’s insurance carrier at standard group rates.

PHYSICAL DEMANDS

Minor amount of standing, walking, lifting/carrying/pushing up to thirty (30) pounds, stair climbing, ladder climbing, balancing, kneeling, crouching, crawling, turning/twisting, bending at waist, handling of items, feeling/touching of items, foot-hand-eye coordination, seeing – far, and depth perception.

EMPLOYMENT STATUS
This position is classified as a nonexempt, nonrepresented position, and is eligible for overtime compensation based on both Federal and State of Alaska laws. All Association employees are expected to work widely varying amounts of either (1) unscheduled overtime such as during power restoration activities; or (2) scheduled overtime required to accomplish special projects.
