CORPORATE ADMINISTRATIVE ASSISTANT
REGULAR FULL TIME - $21.00-24.00/HR
SHIFTS: MONDAY-FRIDAY
POSITION SUMMARY
The Corporate Administrative Assistant supports the business office operations through a range of tasks and responsibilities; including reception, customer service, scheduling, data entry, and document management and coordination. This role requires strong organizational and communication skills and the ability to multitask effectively across various business functions. There are no supervisory responsibilities in this position.
ESSENTIAL DUTIES & RESPONSIBILITIES
- Reception and Customer Service:
- Greet, welcome, and direct visitors with excellent customer service.
- Answer phone calls, handle inquiries, and transfer calls with a pleasant manner.
- Transcribe voicemail messages as needed.
- Maintain a safe and clean reception area.
Administrative Support:
- Perform data entry accurately for specific tasks and special projects.
- Make photocopies and scan documents as required.
- Sort invoices for Accounts Payable.
- Enter donations on the designated spreadsheet.
- Sort and distribute incoming inter-company mail and deliver envelopes.
- Send and receive packages and documents via FedEx or Roadie.
- Match copies of inter-company transfers, ensure accuracy and completeness, and file documents.
- Inventory and Supply Management:
- Place supply orders as needed.
- Maintain the breakroom and monitor supplies.
Scheduling and Event Coordination:
- Schedule and manage product demos for stores as needed.
- Hang weekly ads and send copies of them to Daly Design.
Office Opening and Closing:
- Perform opening or closing duties.
Additional Responsibilities:
- Perform other duties and projects as assigned to support various business needs and ensure smooth office operations.

- Bilingual proficiency in English/Spanish is preferred.

- Able to effectively present information in one-on-one and small group settings.
Mathematical Skills:
- Proficient in basic math operations, including addition, subtraction, multiplication, and division using whole numbers, fractions, and decimals.
- Able to calculate rates, ratios, and percentages accurately.
Reasoning Ability:
- Applies common sense to follow detailed written or oral instructions.
- Able to address problems involving a limited set of concrete variables within standardized situations.
EDUCATION, CERTIFICATES, LICENSES
- High school diploma or GED required.
- Administrative Assistant Certificate preferred.
- Microsoft Office Suite (Excel, Word, Outlook) certification preferred.
EXPERIENCE
- Minimum of one year in an administrative role
- Minimum of two years in a general clerical role
PHYSICAL REQUIREMENTS/WORK ENVIRONMENT
- Regularly required to communicate verbally, as well as use vision and hearing to perform job duties effectively.
- Frequently required to sit and use hands and fingers for tasks such as operating a keyboard, mouse, and handling phones, files, and paperwork.
- Frequently required to read and comprehend written material.
- Frequently required to stand, walk, and reach with arms.
- Occasionally required to bend, twist at the waist and neck, and lift or move objects up to 25 pounds.
- The typical noise level in the office work environment is moderate.
- Occasionally, duties may be performed in a warehouse, store location, or outdoor environment were intermittent noise from machinery, activity, or overhead speakers may be present.
